Meeting Minutes – May 21, 2012

I. MINUTES APPROVED
· Motion by Dave Walsh
· Seconded by Mike Skrip
· Approved
II A. APRIL FINANCIALS – Dave Walsh
· Overall the financials year to date are $30k better than plan
· The school subsidy is running 35% versus a YTD plan of 33%
· Cash position is up $113,000.00 from September 1, 2011.
II B. St. Joseph’s Fund – Larry Zielinski
· The total in the St. Joseph’s Fund is $344,944
· Reporting is not what we as a Finance Committee want to see
· Money is in safe funds
· St.. Joseph’s Fund is not registered with the SEEC
· Do we feel as the finance Committee safe with our investment in the St. Joseph’s Fund?
· The following was suggested:
· All of the 2012 and 2013 Capital Budget Projects will be funded out of the St. Joseph’s Fund versus our operating bank account.
· As our operating bank account grows, funds will be invested as the Finance Committee sees fit at that time.
III. CAPITAL PROJECTS REVIEW – Deacon Jim
· $69,000.00 was budgeted for Capital Spending Projects for 2011 – 2012 (approved)
· Money left in the budget as of today is $18,400.00 prior to the approvals given at this meeting listed below
· Capital Projects:
1. HVAC Replacements – Selbert Hall - $28,400.00 –low bidder was MJ Mechanical (approved)
2. Church Doors - $7,880.00 (approved)
3. Purchase of a Gym Scrubber - Jaworski Cleaning Company is scheduled to buy one so they can properly perform their cleaning work.
4. Gym Lighting – Pending grant money (pending)
5. Masonry for Church - $20,000.00 (approved)
6. School – 2nd Floor Tile $14,400.00 (approved)
7. Masonry East Wall along with North & South Wall- $15,000.00 (approved)
8. Stage steps - $2,400.00 to be constructed of aluminum. (approved)
· Deacon Jim to write a letter to the diocese for the bishop’s approval for projects #1, 5, 6, and 7.
IV. 2012- 2013 BUDGET CALENDER
· Timing for the final budget for the fiscal year September 2012 through August 2013 is waiting on the budgets from the school, Buildings and Grounds and other organizations to get their requests in.
· Timing for this capital has been coming in slowly but the individuals are working on it.
· Meeting for June 18, 2012 will be Sr. Marylin
V. School Enrollment – Deacon Jim
· Deacon Jim presented a school enrollment goal sheet
VI. Committee Succession Plan –
Topic was discussed and the following changes were suggested but not finalized:
· Randy Krolewicz for Budget & Reporting
· Dave Walsh will be moved to the Committee Secretary when his current position is filled.
· Martha Barton and Larry Z. are in the “class” to be renewed

ATTENDANCE:

I. MINUTES APPROVED

II. MARCH FINANCIALS – Dave Walsh
· Net surplus year to plan was $90,000.00 versus plan of $80,000.00
· We are slightly above plan
· It was noted on April 2, 2012 that Deacon Jim requested $20,000.00 for general expenses from the St. Joseph’s Fund. This money was deposited in the church checking account. It was then repaid back on April 12, 2012.
· This was a request to check just how quick the St. Joseph’s Fund would respond to withdrawals.
III. CAPITAL PROJECTS REVIEW – Deacon Jim
· Church doors scheduled May 1, 2012
· Floor scrubber is still being researched with other parishes and customers that have similar scrubber
· Gym lighting – new NYSERDA grant program starting May 1, 2012. There is a waiting list of 600 customers on the list.
· Masonry project – there is one price that came in and still under review. That price was $20,000.00. We will have more information from Buildings and Grounds in May after their meeting.
· A comment was made that the gym floor is holding up very good so far.
IV. FUTURE MEETING UPDATES WITH GUESTS – Deacon Jim
· June Meeting – Sr. Lori in Faith Formation
· July Meeting – Sr. Marilyn in the School
· August Meeting – Joe K and School Development
· September Meeting – Bill Swierat and his Audit Committee Update
